Select Manager/Product/Lot/New Description in the Main Menu.
Next figure shows an example of a LOT definition named ‘Special Plasma (Donor Group #1)’. Use names which describe the main Lot predestination.
You can add some NOTE, for example, about the Donors Group #, which includes just product from Donors of BCM #2, 4, 6.
NOTE: you may edit NOTE later, if some other Donor(s) found acceptable to include their Product in this LOT, etc. Notice, it is just a reference for staff and BCM does not process its content.
Next, choose Collect Product drawn by Program Selected, select any Program, and press ENTER. Otherwise, select Any Program if Program does not matter. In such case, the list of Programs will be disabled and you can bind to this LOT the Product, collected by different Programs. BCM provides automatic numbering of Cartons when you packing Units. So, type the Number of Units in the carton for Product to be packed. You may want to assign the first number in the Carton sequence to this LOT as other than ‘1’. Fill in the field Current Carton # to pack to assign this parameter. BCM modifies the Current Carton # automatically and you may not edit it later. Each Carton in the LOT will have a unique number. BCM automatically recalculates the volume of each Unit in a LOT, accordingly to UNITS Volume measure. Press Key SPACEBAR to toggle this.
Next, you have to decide what to do if packed Unit(s) has to be culled out from the Carton(s). One way is to Leave UNIT’s place Blank, but you can select Squeeze THIS and all SUBSEQUENT Carton(s).
Last, you need to select Product Sort Criteria for the LOT. Three variants of Units sorting are possible:
- Bleed #: by Bleed Number and Bleed Date
- Donor #: by Donor Number (BCM) and Bleed Number
- Date: by Bleed Date and Bleed Number
Select Manager/Product/Lot/Product Bindingin the Main Menu. The next dialog intended to support Product separation in the LOT.
The list of Customers presents all Center's Partners, marked as Buyers. You may scroll this list to view UNBOUND PRODUCT, collected by each Order for selected customer. Such Orders have a sign of ‘Smile Face’. For example, the figure above shows that Orders ‘#6785’ and ‘#7512 TYR’ belongs to customer ‘Gamma’. Compare with the next figure, where Order ‘#7745 RT’ belong to customer Alpha. The list of Programs of Product Collection presents Programs, prescribed to collect by selected Order.
If Program includes Test(s) definitions, where Titer request possible, those Test(s) names appear in the list of Titer of Test (please, compare 2 figures above). To access list content, press Key SPACEBAR on the Titer of Test check-box. Press Key ENTER on the selected Test and pick the Titer range criteria. An appropriate fields to input data are enabled.
The next parameter you may use to describe Product selection criteria is Bleed #(s) by. Select Order & Program to allow Units, collected by chosen Order and Program, only. Otherwise, choose Program to select all Units, collected by particular Program, without taking Order into account.
To complete job, choose the last parameter:
- All: all Units have to be selected
- Period: Units drawn in the range of dates
- Weight: designated kilograms (for example, 54.89 Kg)
- Donors: Units drawn from selected Donors
Summary, the figure above shows example of Product selection criteria definition for Units, drawn by Program ‘PlasmaRegular’ in the period of 1 Jan 1999 to 10 Mar 1999, which Titer of Special Quality Test must be > 350, and without taking into account any Order(s), for which it was collected.
The next figure shows another example of Product selection criteria definition - all Units by Program ‘Plasma Regular’, drawn from Donors #2, 4, and 6.
NOTE: some difference exists in the user interface if you want to make a selection by Donors. Usually, BCM starts query when button <Select> clicked, and enables button <Show> if some Units found. In case of Donor selection, the first click on <Select> will enable the list of Donors BCM #. Scroll this list and press Key SPACEBAR to toggle mark on the Donor(s) you want to include in the current query. Press Key TAB to move out of the list and push <Select> again. The <Show> button appears if any UNBOUND PRODUCT found.
As you can see, BCM shows how many Bleed Numbers found for selected Donors.
NOTE: BCM can cancel selection if you trying to bind Product, collected by a Program absent in the LOT definition. In this case, you’ll see a message as shown at the next figure. You may describe a new LOT or edit one already defined, to include the needed Program (if you pick Collect Product drawn by Any Program).
To edit LOT descriptor, select Manager/Product/Lot/Description Edit in the Main Menu. The list of all LOT(s) appears. Select needed and press ENTER. BCM activates the screen shown above and you may modify LOT definition.
Let’s get back 3 figures up, to see what happens if the button <Show> clicked. BCM activates the screen with detail information about the Product:
The top part in the frame Viewing Criteria intended to provide flexible sorting and filtering of information, presented in the bottom frame of Selection Result. If the cursor is in the table of Selection Result and you want to change Viewing Criteria, press Key ESC. Set another filter and push button <Refresh>. The cursor automatically moves to the table of results and you can scroll it by navigating keys.
Figure above shows All Unbound Product, selected accordingly to the LOT descriptor and sorted by Bleed #. Box# means carton's number and the sign # alone prescribes sequential number of the Unit in the carton. Boxes must be packed accordingly to Product Sort Criteria, and stored in the Product Storing Place 3-1 with Status ‘OK’. Column >>TO blank, which means no Unit replacement needed (temperature Ok).
If result list is long you may want to squeeze these to make it comfortable to operate. For example, you want to view Units, sorted by Donor Numbers and Bleed Numbers, drawn between 01 Mar 1999 and 10 Mar 1999, which has Product Status ‘OK’ and Bleed Numbers correspond to a template ‘ALPHA000**RE’. To create such query, choose Sorted By Donor # as the sort criteria. Press Key SPACEBAR in the check-box Status to enable the list of statuses (use the same technique to include filter adjustment of Date and Bleed #).
NOTE: the list Status presents following choices:
- Ok: all prescribed Tests done and Unit(s) usable, accordingly to the Program by which it was collected
- Unusable: Unit unusable by some Test(s) result, accordingly to the Program, it was collected by
- CNFRM !: Unit Test(s) result are reason of Donor Rejection, accordingly to rules of Program, it was collected in. BCM waits for confirmation by Today’s Responsible Person
- TESTS !: not all Test(s) result(s) present, accordingly to the Program, it was collected by
- EMPTY: No Product (for example, Bleed Number lost)
- UNTEST !: Unit was not tested accordingly to rules of Program, it was collected
The figure below shows filter adjustment and selection results.
Next figure shows the message if BCM found nothing to match in the filter. Press Key ESC and define another filter or turn it off by check-boxes Status, Date and Bleed #.
You may use different filters to find needed Units quickly and mark them to bind to the LOT, chosen in the list of LOT(s). Better to choose Bleed #(s) Unbound All, as shown at the figure above. To check your work result, turn filters off when all needed Units marked, and select Bleed #(s) Unbound Marked. Choose Bleed #(s) Unbound Unmarked to see the remaining Units.
NOTE: press Key SPACEBAR to toggle mark on each Unit you want to bind to the LOT. Press Keys ALT+A to toggle mark on all selected Units.
Now choose the LOT to bind selected Units. Pick Bleed #(s) Lot All to enable the list LOT(s) for selection. Scroll the list of LOTs and press Key ENTER on needed. Push button <Refresh> to see the list of Product, already bound to this LOT.
To return to the table of Selection Result, press Key ESC to move back to the area Viewing Criteria, choose Bleed #(s) Unbound All (or Marked) and push button <Refresh> again. Check again marked Units to be bound. Button <Bind> enabled as shown at the next figure.
As you see, all selected Units marked to bind to the LOT ‘Special Plasma (Donors Group #1)’, except Bleed Number ‘ALPHA00007REG’. They still measured in Grams because binding not confirmed yet.
NOTE: check each Unit for kind of Test(s) to be performed, the Test(s) results received and which Test(s) results absent. Press Keys ALT+I to review selected Unit Test(s) results. Next figure shows information about Unit ‘ALPHA00006REG’. Scroll the list of Test(s) results and press Key ESC to close and move back to the table of Selection Result when done.
Press Key ESC to move out from the list of Selection Result and return to Viewing Criteria. To perform BCM action, push button <Bind>. Push <Yes> on the next warning screen:
All Units, marked to bind, disappears from the table of Selection Results. Button <Save> appears.
NOTE: BCM recalculates bound Unit volumes accordingly to the LOT definition. At the next figure Product amount measured in Ml.
You may need to move some Units to another Product Storing Place. For example, Unit ‘ALPHA00001REG’ confirmed Unusable by the rules of Program, it is collected. Select Manager/Product/Lot/Product Replacementin the Main Menu. BCM presents a list of LOTs you have currently in Center storage.
To get a detail list of bound Units, select LOT and press Key ENTER.
NOTE: Product Replacement does not mean action of Product moving to another Storing Place. It is an order from the Center manager to Storage staff. Product Replacement must be confirmed by Storage (see Storage/Confirmation/Product Packing/Replacement) or by Manager (see Manager/Product/Lot/One Step Confirmation/Packing or Manager/Product/Lot/One Step Confirmation/Replacement).
To select and mark Units needed, use same techniques, as described in the section of Product Binding. Push button <Replace> when done. You’ll be prompted to a list of Storing Places Available in the Center.
Pick Storage Place, where Unit(s) has to be moved and push button <Done>. BCM presents the next Warning Message:
Push button <Yes> if Ok.
NOTE: to replace Carton(s) to the other Storage place, all its Units have to be marked. To replace some Unit(s) from already packed carton(s) you have to Unbind those Unit(s). BCM will use LOT(s) definition (for the parameter If Packed Unit has to be Unbound from the LOT) to check if subsequent cartons repacked. Unbinding may include Replacement.
At the next figure button <Save> visible and one Unit in the list has Status OUT>>> (replace) from Storage Place 3-1 to 3-2. Push button <Save> to confirm Unit replacement order to the Storage staff.
Let’s see how BCM acts if you try to replace Unit(s), which does not have Status Unusable. Next figure shows example of an order to replace Unit ‘ALPHA00004REG’ to the Storage Place 3-3. Current temperature in 3-3 is +5°C and the Alarm Temperature assigned to +9°C (see Product Storage Place definitions). But, Unit ‘ALPHA00004REG’ has the Status ‘OK’, and by rules of the Program it must be stored in the temperature range from –90 to –20°C.
So, it is wrong place for that Unit storing and if button <Done> pushed, BCM warns to confirm selection of Product Storage Place 3-3 (see next figure). BCM presents the same reaction if you'll try to make replacement to a Storage Place, which does not need Temperature Control (as Place 3-2). As shown at the next figure, you have a choice and may choose button <Yes>. In this case, BCM may accept such replacement if you are Today’s Responsible Person. Otherwise, replacement will be canceled and you asked for Today’s Responsible Person confirmation.
Usually, to avoid rush and mistakes at the time of Product Shipment to the Customer, Center packs it daily. To give the possibility of a two-step control when and where Product replaced, BCM provides the strategy Order – Execution. In general, Storage staff may not know exceptions of Unit Status and only Center's management makes the decision where the Unit can be moved.
Select Manager/Product/Lot/Product Packing in the Main Menu. BCM presents the list of LOTs, currently in the Center storage and Units, still not packed.
To get detail list of bound Units, select LOT and press Key ENTER. Next figure shows Product, sorted accordingly to the LOT rule. To select and mark needed Units, use the same procedure, as described in section on Product Binding. Push button <Pack> when done.
BCM warns that Cartons Numbers and Unit’s placement into the cartons done automatically.
Push button <Yes> if you agree to continue.
NOTE: BCM works just with Product marked in current and can't predict if Units must be packed while some next session. For example, Unit can't be packed here if some it’s Test Results absent. In this case, the next time you’ll mark to pack, BCM will add such Unit to the end of the list of already packed Units. So, it could be another carton. Pay attention to the sequence of Units you pack. Select SORTED BY Lot Rule to see how Units ordered.
Next, BCM will present a list of Product Storage Places, available at the Center.
Select Storage Place where Carton(s) has to be stored and push button <Done>.
NOTE: BCM cannot change Storage Place for Cartons, which already has some Units inside, but still not filled in completely. For example, the Carton #109 filled with 14 Units and stored in the Place # 3-2. By LOT definition each Carton can hold 15 Units. You mark 5 Units, stored in the Place # 3-3, to Pack and new Storage Place # 3-1 chosen for the Cartons, where you want to pack currently. BCM will place 1 Unit into the Carton #109, without making an order for its replacement. The next 4 Units will be packed into the Carton #110, and its Storage Place will be marked as 3-1.
BCM enables button <Save> and shows a Carton Number and Place in the Carton for each Unit.
To make Packing Order permanent, push button <Save>.
Next figure shows a situation, when you make the next Order of LOT Packing. As you can see, to determine Carton Number and Unit place in the cartons, BCM examining previous Packing Order(s) and LOT definitions.
Product Packing/Replacement Confirmation
To confirm execution of an Order for Product replacement, you may act in a different ways. Usually, it’s the Storage staff job to do daily, but you may use a One Step confirmation by Manager.
Select in the Main Menu Storage/Confirmation/ Product Packing/Replacement. BCM will present the list of LOTs you have in Center storage currently and some Units, ordered to be Packed or Replaced.
To see a list of tasks, which management requests to perform, select LOT and press Key ENTER.
All Units in the list have a Task PACKING. If some Unit(s) must be culled from the Carton, the task will be marked with OUT>>>. If culled Unit have to be placed into another Storage Place, the column >>TO will be filled in with the destination Place Number (for example, 3-3). If Task marked with OUT>>> but column >>TO is empty, this means you have to cull out the Unit from the Carton, but leave it in the current Storage. If unpacked Unit must be moved to another Storage Place, this is marked with the Task REPLACE, and column >>TO filled in with a new Storing Place Number.
Figure above shows User interface, when a Bar Code Reader present at Storage. To see Units and Tasks, you can scroll the list and select the next one to confirm task executed. The list not very long if Storage staff daily executes the management orders of Product replacement. In addition, you may use a hard copy of ‘LOT – Product Task Pick List’ (see Information). Press Key TAB to confirm next Unit and move from the list into the field BLEED # in the CURRENT READING frame of the screen. Scan the Unit Label by Bar Code Reader. BCM checks if scanned Label is on the list. A wrong Label will be canceled. Then you are asked the question shown in the next figure. Push button <No> if there is no difference between the volume, written on the Unit Label, and printed in the list.
The next message comes up if the Unit volume is Incorrect and Storage staff has no rights to modify its volume by Center Properties definitions.
As you remember, Center management may permit Unit Volume editing in the Storage, if it marks this parameter of Center Properties as shown in the next figure:
If editing of the UNIT VOLUME data allowed, you'll see it enabled in the area CURRENT READING:
If Bar Code Reader absent in the Storage, you may use simplified procedure of Unit Replacement Confirmation. Do not mark Storage in the Center Properties as shown in the next figure.
In this case, the field BLEED # in the area CURRENT READING disabled, as shown in the next figure. Scroll the list and just press Key SPACEBAR on the Units, you want to confirm the Task executed.
Select Manager/Product/Lot/One Step Confirmation/Packing (or Manager/Product/Lot/One Step Confirmation/Replacement) in the Main Menu.
BCM will show the list of LOTs currently in the Center’s storage.
Select needed LOT and press Key ENTER. The list of Units, ordered to Pack or Replace will be presented:
To select and mark Units, use the same procedure, as described in section Product Binding. Push button <Save> when done. BCM presents a warning message:
Push button <Yes> to confirm.
NOTE: Product Replacement Confirmation by Manager acts the same way in case Manager/Product/Lot/One Step Confirmation/Replacement chosen.
Sometimes you have a situation when current Unit Status does not correspond to the bound LOT. For example, after testing some Unit(s) may get status UNUSABLE. In this case, bind such Unit(s) to another LOT. Select in the Main Menu Manager/Product/Lot/Product Unbinding. BCM will show the list of LOTs, which Units already bound.
Select LOT and press Key ENTER.
To mark Unit(s), use the procedure, as described in the section Product Binding. Push button <Unbind> when done. The next warning pops-up.
Push button <Yes> to continue.
Current Unit Storage Place is # 3-2, but you may want to replace UNUSABLE Unit(s) to another Place. This is a reason for BCM to ask:
To move the Unit out, push button <Yes>. The dialog of Product Replacement will be activated to select a new Storage Place. Push button <No> if you want to leave Unit in the current Place, as next figure shows.
NOTE: Unit ‘ALPHA00001REG’ unpacked and it’s Status OUT>>> means – off the list of Units, bound to LOT ‘REGULAR QUALITY PLASMA’.
Press Key ESC to move out from the table Selection Result and push button <Save>. You’ll be asked the next question:
Push button <No> if the LOT to bind this Unit to is indefinite now. Then BCM will mark the Unit as unbound from any LOT and you may use Product Binding lately. Push button <Yes> if you wish to change a LOT now. In such case, BCM will present a list of LOT(s) AVAILABLE:
NOTE: notice content of the list. The Unit ‘ALPHA00001REG’ belongs to LOT ‘REGULAR QUALITY PLASMA’, but this LOT absent in the list above. LOT ‘REGULAR QUALITY PLASMA’ defined for Product, collected by Program ‘Plasma Regular’. LOT ‘SPECIAL PLASMA (DONORS GROUP #1)’ defined for Product collected by the same Program. And LOT ‘MIXTURE’ defined for Product collected by Any Program. BCM includes into the list of LOT(s) AVAILABLE only the LOT(s), defined for the same Program as a LOT, being selected for Units Unbinding and LOT(s), defined for Any Program.
Select LOT the selected Unit(s) to be bound to, and push button <Done>. The next warning message will appear:
To confirm all previous work and save the task, push button <Yes>.
